Description
We are seeking a detail-oriented and proactive Legal Administrative Assistant to support attorneys, paralegals, and other team members in our fast-paced, deadline-driven Estate Planning Department. This role requires frequent client interaction and multitasking to manage a variety of administrative tasks.
Key Responsibilities:
- Answer and manage multiple phone lines, document messages appropriately.
- Communicate daily with clients via email and phone to address inquiries and provide updates.
- Schedule meetings and maintain calendars for multiple attorneys.
- Assist with processing attorney revisions and edits to documents.
- Draft basic correspondence and letters.
- Proofread and review client documents, including agreements, trusts, wills, and other estate planning materials.
- Compile client binders of signed estate planning documents in both hard copy and PDF format, ensuring proper organization and inclusion of a table of contents.
- Perform other administrative duties as assigned to support the department.
Helpful Skills:
- Strong proficiency with Microsoft Office Suite, particularly Word, Outlook, and Excel.
- Ability to format and edit documents efficiently in Microsoft Word.
- Experience managing attorney calendars and scheduling meetings via Outlook.
- Skilled in searching and organizing documents within Outlook and calendar software.
- Competence in creating and formatting Excel spreadsheets for reporting and printing purposes.
- Ability to create flowcharts and other visual aids.
- Familiarity with document management software (e.g., NetDocuments).
- Willingness to learn new software as required.
- Experience with time and billing software, including tracking client accounts, billing, and payment histories.
- Knowledge of redlining software (e.g., Workshare Compare) for document revisions.
- Excellent written and verbal communication skills to foster positive relationships with attorneys, clients, and support staff.
- Capacity to work both independently and collaboratively in a deadline-driven environment.
- Strong multitasking skills and the ability to prioritize work effectively when supporting multiple attorneys and paralegals.
- Dependability, professionalism, and a strong work ethic.
- Flexibility to adjust working hours to meet operational and business needs.
