LITIGATION SECRETARY / OFFICE ADMINISTRATOR
Seattle law firm seeks an experienced Litigation Secretary/Office Administrator. We are a five-attorney, four-staff commercial litigation law firm with a high level of commitment to our clients and a 42-year track record of successful, positive outcomes on their behalf. Our practice includes representation of plaintiffs and defendants, consisting of both hourly and contingent work for individuals and small and large companies, and large class-action work. We work as a team, with our focus on getting results for our clients. We have an extremely low rate of staff turnover, which is a direct result of our firm’s culture, respect, and commitment to work-life balance. We are looking for an individual with the following skills and experience to join our team:
Five years of legal secretary experience is required, including advanced knowledge of Microsoft Office; creating, formatting, and proofreading complex documents; knowledge of court rules; electronic court filing; and compiling, redacting, Bates stamping, and securely serving document productions.
Three years of office administration experience is also required, including facilities and equipment maintenance (keeping the office in good working order and contacting building management/service providers when needed), human resources (onboarding, maintaining records, tracking assigned keycards/equipment, assisting with questions, handling celebrations), and bookkeeping (opening new matters, preparing monthly reports for management and outside CPA, handling monthly and quarterly tax preparation and filing, assisting outside CPA with annual tax return documentation; and assisting our in-house bookkeeper with ledger entries, accounts payable and receivable, monthly reconciliation, and processing timesheets and payroll).
General requirements include the ability to manage multiple tasks, prioritize workloads, and work both independently and collaboratively to meet deadlines; focused attention to detail; excellent communication and courteous contact with court personnel, attorneys, and other legal professionals; the ability to handle sensitive or confidential information with discretion; and high ethical standards.
This position has part-time to full-time flexible hours and the option to work remotely. It includes medical, dental, and vision insurance, paid time off, and an ORCA public transit subsidy or paid parking. Our office is located just north of the downtown Seattle core.
