Corporate Department – Legal Assistant
This person will assist attorneys and paralegals in all phases and aspects of corporate and real estate transaction-related work with limited supervision in a fast-paced, deadline-driven environment.
- Handle complex projects with limited supervision.
- Prepare and maintain integrity of client and transaction files within Department-approved and file management systems
- Proof read agreements for grammar, consistency, formatting and typos.
- Provide pre-closing, closing and post-closing assistance, including: preparation of closing documents/binders in both hard copy and PDF formats with table of contents.
- Conduct non-legal research using various research tools.
- Facilitates communication within case/deal teams.
- Organizing marketing events, both internal and external as necessary.
- Performs other related duties as assigned.
Qualifications:
- Proficiency in Microsoft programs:
- Microsoft Word, with proficiency in document formatting.
- Outlook, maintaining attorney calendars and proficiency in searching a sender’s email for documents and information relayed to clients.
- Excel, ability to format large spreadsheets for printing.
- PowerPoint, ability to format and create new presentations.
- Familiarity with Adobe Acrobat Pro and ability to take PDF’s and create closing binders with a of contents.
- Familiarity with document management software (i.e., NetDocuments).
- Ability to learn new software when necessary.
- Familiarity with time and billing software and ability to research client accounts receivable, billing and payment history and work in process.
- Familiarity with red-lining software (i.e., Workshare Compare).
- Demonstrates effective interpersonal and communication skills, both verbally and in writing to facilitate effective working relationships with attorneys, clients and support staff.
- Excellent analytical, organizational, trouble-shooting and planning skills.
- Ability to work well in a demanding and fast-paced environment.
- Ability to work independently as well as effectively within a team in a deadline-driven environment.
- Ability to handle multiple projects, multiple attorneys and paralegals with shifting priorities, and meet deadlines.
- Ability to assume progressive responsibilities within assigned work as experience is gained in the position.
- Be dependable and with a high level of professionalism.
- Flexibility to adjust hours and work the hours necessary to meet operating and business needs.
